Few things are more frustrating than sending an important email only for it to land in the recipient’s spam folder. Usually this comes down to a handful of fixable causes around how your domain and mail are configured. This guide explains them.
The most common cause: missing authentication #
Mailbox providers trust email far more when your domain proves the message is genuine. The three records that do this are SPF, DKIM, and DMARC. If they are missing or wrong, your mail is much more likely to be flagged. Setting them up correctly is the single biggest fix.
Other common causes #
- Spammy content: lots of links, all-caps subjects, or “spam trigger” words.
- A poor sending reputation: from a shared IP or past complaints.
- No unsubscribe link in bulk or newsletter mail.
- Broken or mismatched “from” addresses.
How to fix it #
- Set up SPF, DKIM, and DMARC for your domain.
- Write natural subject lines and avoid spammy formatting.
- Send from a consistent, real address at your domain.
- For newsletters, use a proper mailing service with unsubscribe handling.
